Privacy Policy

Effective Date: May 21, 2025 Mindfeeder LLC (“Mindfeeder,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you use our website (the “Site”). By accessing or using our Site, you agree to the terms of this Privacy Policy. If you do not agree, please do not use the Site.

1. Information We Collect

We collect personal information that you voluntarily provide and usage information automatically as you interact with our Site:
  • Information You Provide: When you fill out forms on our Site (for example, to contact us or request a consultation), we collect information such as your name, email address, phone number, company/business name, and any other details you choose to submit. If you opt-in to receive SMS/text messages, we will collect your mobile number and consent preferences. We do not collect sensitive personal data (such as Social Security numbers or financial account info) via our Site.
  • Automatically Collected Data: Our Site uses analytics and tracking tools to collect certain information automatically. This includes data like your IP address, browser type, device type, operating system, pages or content viewed, dates/times of access, and referring website or search terms. We use Google Analytics 4 (GA4) and the Google Global Site Tag (gtag) to track user behavior and site traffic. GA4 may collect information such as geographic region, device identifiers, and interactions on our Site. Note that GA4 does not store IP addresses in logs for EU users, and Google provides privacy controls for analytics data. We also use tracking pixels from Facebook (Meta Pixel) and LinkedIn (Insight Tag) which allow us to understand ad performance and user interactions from those platforms. These third-party tools may set cookies or use similar technologies as described below.
  • Cookies and Similar Technologies: We and our third-party service providers use cookies, web beacons, and similar tracking technologies on the Site. Cookies are small text files stored on your browser to remember your preferences and track activities. For example, Google Analytics cookies (such as _ga, _gid, etc.) help us recognize repeat visitors and analyze how our Site is used. Facebook and LinkedIn pixels may set cookies (such as _fbp and others) that identify your browser and device for advertising and analytics purposes. We also integrate Zoho One tools (including Zoho CRM and possibly Zoho SalesIQ or other Zoho services) which may use cookies or scripts to track form submissions, user engagement, or chat interactions (if applicable). These technologies collect information about your browsing actions and patterns to enhance your experience and for analytical and marketing purposes. Do Not Track: Some browsers offer a “Do Not Track” (DNT) feature that lets you signal a preference not to have your online activities tracked. Currently, our Site does not respond to DNT signals due to the lack of an industry standard and because third-party services we use (such as Google and social media pixels) may not honor DNT requests. We will update this practice if a uniform standard for responding to DNT is established.

2. How We Use Your Information

We use the collected information for the following purposes:
  • To Provide and Improve Services: We use your personal information to respond to your inquiries, provide the information or services you request (such as scheduling a consultation or sending you requested materials), and to improve our services and Site. For instance, if you submit a contact form, we will use your information to get in touch and assist you.
  • Communication: We may use your contact information (email or phone) to send updates related to your inquiry, project, or our services. If you have opted in to receive marketing communications, we will send occasional emails or SMS/text messages about company news, service offerings, or events. You can opt-out of marketing emails at any time by using the “unsubscribe” link in our emails, and you may opt out of texts by following the instructions in those messages (see SMS Policy below).
  • Analytics and Personalization: Automatically collected data and cookies are used to analyze how visitors use our Site, so we can improve functionality, content, and user experience. For example, we analyze what pages are most visited or how users navigate the Site. This helps us optimize our Site’s design and content. We may also use cookies to remember your preferences (like language or region) to personalize your experience.
  • Advertising and Marketing: We use third-party tracking (Facebook Pixel, LinkedIn Insight) to measure the effectiveness of our advertising campaigns and possibly to retarget or show Mindfeeder ads to you on other platforms. For example, if you visit our Site, the Facebook Pixel may log that event so you could later see a relevant ad from us on Facebook. Any such advertising use is subject to the privacy policies of those third-party platforms. We may in the future use cookies for targeted advertising or retargeting campaigns, but as of the effective date, our use of cookies is primarily for analytics and site functionality.
  • CRM and Business Operations: If you submit information through our forms, it may be stored in our Zoho CRM system. We use Zoho to organize leads, client information, and communications. Your data helps us keep track of our interactions with you, schedule follow-ups, and provide tailored support. Zoho may also facilitate analytics on form submissions and website interactions (e.g., to see which pages lead to form submissions).   • Legal Compliance and Protection: We may use or disclose your information as necessary to comply with applicable laws, regulations, legal processes or governmental requests. For example, we can use and retain personal data to respond to subpoenas or regulatory inquiries, or to establish or exercise our legal rights or defend against legal claims. We may also process your data to investigate or prevent security issues or fraud, and to enforce our Terms & Conditions or other agreements, or to protect the rights, property, or safety of Mindfeeder, our customers, or others.

3. How We Share or Disclose Information

We do not sell your personal information to third parties. We only share or disclose information in the following circumstances:
  • Third-Party Service Providers: We share data with trusted third-party service providers who perform services on our behalf, only to the extent necessary for them to carry out their functions. This includes companies such as:
    • Analytics Providers: e.g., Google (for Google Analytics) processes site usage data for us.
    • Advertising Partners: e.g., Facebook and LinkedIn, which process data (via their pixels) to help us measure and improve our advertising.
    • Customer Relationship Management: Zoho, which hosts our CRM and related tools to manage contacts and form submissions.
    • Web Hosting and Plugins: Our website is built on WordPress, so our web hosting provider and certain WordPress plugins may process data (for example, a form plugin may transmit data to our email or CRM, or a security plugin might log IP addresses for security monitoring).
    • These providers are bound by agreements not to use your data for any unrelated purposes and to protect your information. We strive to choose providers with strong privacy and security practices.
  • Business Transfers: In the unlikely event that Mindfeeder LLC undergoes a business transaction such as a merger, acquisition, or asset sale, user information (including personal data collected through the Site) may be among the assets transferred. If such a transfer occurs, we will ensure the successor respects your personal data in line with this Privacy Policy or notify you and give an opportunity to opt-out.
  • Legal Requirements: We may disclose your information if required to do so by law or in response to valid legal process (e.g., a subpoena, court order, or government request). We may also disclose information if we believe in good faith that such action is necessary to (a) comply with the law, (b) protect and defend our rights or property, (c) prevent fraud or abuse, or (d) protect the personal safety of our users or the public.
Other than the above, Mindfeeder will not share your personal data with third parties unless we obtain your consent (for example, if we ever wanted to post a client testimonial with personal details, we’d ask your permission).

4. Cookies and Tracking Technologies

For example, the Facebook/Meta Pixel may set a cookie identifying your browser (_fbp), which allows Facebook to recognize you as a visitor of our Site. This helps us (within Facebook’s platform) to show you tailored ads or measure if our ad led you to contact us. LinkedIn’s Insight Tag similarly may set cookies (such as li_gc or others) to track visits and conversions from LinkedIn ads. We do not have direct access to the personal details collected by these third-party cookies; we receive aggregated reports from these platforms. You can opt out of targeted advertising as described below.
  • Functionality Cookies: These cookies remember choices you make to personalize your experience (e.g., your region or language if applicable). Additionally, if we have interactive tools or integrations (like a live chat via Zoho SalesIQ or social media sharing plugins), those services might set cookies to ensure they function properly (for example, a chat widget cookie might remember if it was minimized or store an ID to keep the chat session across pages). Such cookies enhance usability and convenience.
Some cookies we use are first-party cookies (set by our domain, e.g. mindfeederllc.com) and others are third-party cookies (set by the external services like Google or Facebook when their code runs on our Site). You share information at your own risk, and we encourage you to take precautions as well (such as not sending sensitive information through non-secure channels).   • Deletion (Right to Erasure): You can request that we delete the personal information we have collected from you. Note that we may need to retain certain information for legal or business purposes (for example, to comply with a legal obligation or if the information is part of an ongoing transaction).
  • Opt-Out of Marketing: If you have subscribed to our newsletter or opted in to marketing communications, you can opt out at any time. For emails, click the “unsubscribe” link in the email footer, or contact us to be removed. For SMS/text messages, reply “STOP” to any message as described in our SMS Policy (Section 4 of this document) to stop further texts.   • Cookies: As described above, you can manage cookie preferences via your browser settings or opt-out tools. You may also disable analytics tracking by using browser-based tools or plugins.
  • Non-Discrimination: If you exercise any privacy rights (for instance, under CCPA or GDPR), we will not discriminate against you for doing so. We will continue to provide you with our services at the same quality and price (if applicable) regardless of exercising your rights.
In addition to the above general rights, residents of certain regions have specific privacy rights: California Residents (CCPA/CPRA): If you are a California resident, you have rights under the California Consumer Privacy Act (CCPA) as amended by the CPRA:
  • Right to Know: You may request that we disclose the categories of personal information we have collected about you, the categories of sources of that information, the business or commercial purpose for collecting it, the categories of third parties with whom we share it, and specific pieces of information we hold about you. (Much of this information is provided in this Privacy Policy.)
  • Right to Delete: You can request that we delete personal information we collected from you and instruct our service providers to do the same, subject to certain exceptions (such as if we need to retain data to complete a transaction or comply with a legal obligation).
  • Right to Correct: You can request correction of inaccurate personal information.
  • Right to Opt-Out of Sale/Share: The CCPA gives consumers the right to opt out of the “sale” or “sharing” of personal information. However, Mindfeeder does not sell personal information to third parties for monetary value. We also do not share personal information for cross-context behavioral advertising except via the third-party cookies/pixels described (which you can opt out of as described above). If in the future we were to consider selling data, we would implement a “Do Not Sell or Share My Personal Information” link, but as of now this is not applicable.
  • Shine the Light: Separate from CCPA, California’s “Shine the Light” law allows residents to request certain information about our disclosure of personal data to third parties for their own direct marketing. Mindfeeder does not disclose personal data to third parties for direct marketing purposes without consent.
  • Submitting Requests: To exercise California rights, you (or your authorized agent) can contact us at 816-459-0933 or support@mindfeederllc.com with your request. We may need to verify your identity (for example, by confirming information we already have on file like your contact details) before fulfilling the request. We will respond within the timeframes required by law (generally within 45 days for CCPA requests, with the possibility of a 45-day extension with notice).
European Union/EEA, UK, and Other International Visitors (GDPR): Our services are primarily intended for users in the United States, but if you are accessing our Site from the European Economic Area (EEA), United Kingdom, or other regions with data protection laws, you may have additional rights under the General Data Protection Regulation (GDPR) or similar laws:
  • Legal Basis for Processing: We only collect and process personal data about you where we have a legal basis. These countries may not have the same level of data protection as your home country. By using our Site or providing us with your information, you acknowledge the transfer of your personal data to the U.S. We will take steps to ensure that adequate safeguards are in place, in accordance with GDPR (for example, relying on standard contractual clauses for data transfers or that our service providers are certified under frameworks like EU-US Data Privacy frameworks, if applicable).
  • Contact & Complaints: If you have a privacy concern, please contact us and we will try to resolve it. EU/UK individuals have the right to lodge a complaint with their supervisory data protection authority if they believe we have violated their privacy rights. For example, UK users can contact the ICO, and EU users can contact their nation’s DPA.
Children’s Privacy: Our Site and services are not directed to children under the age of 13, and we do not knowingly collect personal information from children under 13. If you are under 13, please do not submit any personal information. If we learn that we have collected personal data from a child under 13 without verifiable parental consent, we will delete that information. If you are a parent or guardian and believe we might have any information from or about a minor, please contact us so that we can promptly investigate and address the issue. (For teens aged 13–17, we advise that they only use the Site with parental consent/supervision, as our services are generally intended for business owners and professionals.)

Additionally, if you reached our Site via a third-party referral or ad (such as clicking a Mindfeeder ad on another platform), there may be tracking in place by that third party to confirm the referral. Any data collected by those third parties is subject to their policies.

We may update or revise this Privacy Policy from time to time to reflect changes in our practices or for other operational, legal, or regulatory reasons. When we make changes, we will update the “Effective Date” at the top of the Policy.
